Welcome! As you settle in your new home, we want to invite you to come by the Trustee’s Hall, located at 12884 Broad Street, and fill in a New Resident Form. We are open Monday to Friday from 8 a.m. to 5 p.m.

This will allow us to program your key cards for access to the amenity centers and to grant you access to essential resident information on our website. Please bring your closing documents if your title company hasn’t already forwarded them to us.

Once this process completed, you may create an account on the password-protected area of our website, where resident procedures and information is available 24/7. For example, if you want to paint your house or change your landscaping, submission of an an Architectural Review form is required. You will find this process and form clearly detailed in this area of the website. You may also include your contact information in our Resident Directory, if you wish.

We are happy to help in the creation of your account.

On Mondays, be sure to check out our Village Center Shoppes Weekly Bulletin email, which includes offers and promotions from our Village merchants.

You’ll also hear from the Owners Association regarding important notices, tips on the Architectural Review Board process and reminders of upcoming events.

Lastly, read through STROLL Village of WestClay Living magazine, which is sent to all residents each month from N2 Publishing.

Costello Security Solutions has officers assigned to support the Village. Officers are in the Village at least six hours a day, seven days a week—with shifts varying in time of day and length. The Security team is committed to accountability and open lines of communication.

Security provides a comprehensive monthly reporting of their schedules, incidents and interaction with Village residents and visitors to the Owner’s Association.

You can call or text Village Security at 317-550-8782 or email them at costellosolutionsllc@gmail.com. Text and email options are encouraged after hours if the matter is not time-sensitive.

The Carmel Police Non-Emergency number is 317-571-2580. Of course, always call 911 in case of emergency.

Planning a wedding, anniversary celebration, birthday bash, fundraiser or other special event? Learn more about renting space in one of our many Village venues.

The Village has four clubrooms available to to rent for private events: the Provost Clubroom, Goldwater Clubroom, and the Sweet Room and Huston Room, both located in the Meeting House. You must be a Village member/resident to reserve a clubroom. The Deerstyne Park Fire Pit may also be reserved. To reserve one of these spaces, contact the Owner’s Association.

The Meeting House features two banquet rooms on the second and third floors that may be rented by the general public. Sahm’s Catering, which has been providing first-class catering since 1986, is the exclusive caterer for any event hosted in the Gene Stratton-Porter Room or the Hoagy Carmichael Ballroom inside the Meeting House. For inquiries on renting one of these spaces, contact Sahm’s Catering directly.

University Green and Ronald Reagan Green, are available for private events and for public rental. For inquiries on renting one of these spaces, please contact the Owner’s Association.

All members of The Village of WestClay Owners Association are eligible to receive electronic scan cards for access to the Meeting House, Goldwater Clubhouse, Provost Clubhouse, Webster Clubhouse, including the pools and exercise rooms. We have four clubrooms available for rental. View our Reservation Guidelines here.

Members also receive an access key for the tennis and pickleball courts, as well as equipment boxes for bocce, horseshoes, shuffleboard and croquet. Two scan cards are issued for each lot or living unit in the Village. Additional or replacement cards can be purchased from the Owner’s Association at a cost of $60 each.
